Managing users

Add, edit, and manage your team members' access to AIsoule.

Adding a new user

  1. Go to Settings → Users
  2. Click "New User"
  3. Fill in:
    • Full Name — Display name
    • Email — Login email (must be unique)
    • Password — Initial password
    • Role — Permission level (Admin, Agent, or custom role)
  4. Click Create

The user receives a welcome email with login instructions.

Editing a user

  1. Go to Settings → Users
  2. Click on the user
  3. You can change:
    • Name
    • Email
    • Role
    • Team membership
  4. Save changes

Changing a user's role

  1. Open the user's profile
  2. Change the Role dropdown
  3. Save — permissions update immediately

The user doesn't need to log out/in — changes take effect in real-time.

Deactivating a user

When someone leaves the team:

  1. Go to Settings → Users
  2. Find the user
  3. Click "Deactivate" (or toggle status)

What happens:

  • User can no longer log in
  • Their assigned conversations become unassigned
  • Their data (messages sent, notes) is preserved
  • They don't count toward your agent seat limit

Reactivating a user

  1. Find the deactivated user (filter by "Inactive")
  2. Click "Activate"
  3. They can log in again with their existing credentials

Resetting a user's password

  1. Open the user's profile
  2. Click "Reset Password"
  3. Enter a new password
  4. The user must use this new password on next login

Or the user can reset their own password via the "Forgot Password" link on the login page.

Deactivated users don't count toward the limit.

Tips

  1. Use descriptive names — Full names help with assignment and reporting
  2. Assign roles carefully — Not everyone needs Admin access
  3. Deactivate, don't delete — Preserves history and audit trail
  4. Review quarterly — Remove access for people who no longer need it
  5. Use SSO — Simplifies onboarding/offboarding for larger teams
